IT procurement process for Indian startups and SMEs
A repeatable process helps teams buy the right hardware, control costs, maintain GST-ready records, and deploy devices without last-minute surprises.
1. Translate business needs into a hardware brief
Start with workloads, not model numbers. Office and sales teams usually need portable business laptops, while design, engineering, analytics, and development teams may require more memory, dedicated graphics, or workstations. Document quantities, operating system, warranty, accessories, delivery locations, and target dates.
2. Standardise approved configurations
Create a small catalogue for common roles—such as standard, performance, and workstation tiers. Standardisation simplifies support, onboarding, spares, warranty claims, and future refresh cycles while preserving an exception path for specialist users.
3. Vet vendors beyond the quoted price
Confirm that products come through authorised channels and include valid manufacturer warranties. Compare stock availability, delivery commitments, DOA replacement terms, configuration services, references, and after-sales support. Ask for an itemised quote so hardware, taxes, services, and freight remain transparent.
4. Keep procurement GST-ready
Ensure invoices contain the correct legal entity name, GSTIN, billing and shipping addresses, HSN codes, taxable value, and tax breakdown. Match purchase orders, goods received, serial numbers, and invoices before payment. Your finance adviser can confirm input tax credit eligibility and the records required for your organisation.
5. Configure, receive, and track every asset
Agree on imaging, security settings, asset tags, user assignments, and acceptance checks before dispatch. On receipt, inspect packaging, validate specifications, record serial numbers, and test critical devices during the replacement window. Maintain one asset register from purchase through reassignment and disposal.
